Tips and Tricks for Getting a NetSuite Refund
- Open an RMA from the cash sale, then "receive" the RMA without restocking and select a bin in inventory detail before refunding via a credit memo tied to the original payment method.
- Alternatively, simply click "refund" directly from the cash sale to avoid complexities involving RMA, item receipt, and credit memo.
- Consult your finance or accounting partner before changing refund processes to understand impacts on inventory and accounting books.
- If the product is returned, have the warehouse handle RMA setup and completion (receipt and refund) to streamline the return and refund process.
- Monitor and close open RMAs diligently, especially if products are not returned promptly or are returned in a different accounting period.
- For replacements, set up an RMA without restocking, create a credit memo, then create a new sales order and apply credit memo payment rather than issuing a $0 sales order.
- Escalate refund cases via NetSuite support by adding detailed private escalation messages and selecting appropriate personnel or groups internally or vendors/partners when frontline support reps cannot resolve the issue.
- Use polite but firm language focusing on the original payment method and authorization to keep the refund process factual and professional.
- Timing matters: Submit refund requests promptly within the same accounting period to avoid complications and delays.
- Be persistent and escalate appropriately when initial requests are denied or delayed, utilizing NetSuite's formal case escalation paths in the support system.
Why Do People Request Refunds from NetSuite
- Overpayment on account due to simple errors or multiple payments applied (e.g., paying more than the due amount, double payments by roommates).
- Return of goods when customers are dissatisfied or the product is faulty.
- Cancellation of services leading to refund requests.
- Fraud prevention issues where sales associates verify purchases before processing returns to reduce mistakes and fraud.
- Validated vs unvalidated returns with unvalidated returns being more prone to refund requests due to fraud risks.
- Customer request for item exchange instead of a refund in some cases.
- Payment method issues like multiple cards used requiring separate refund processing steps.

NetSuite Refund Policy
NetSuite's refund policy states that returns may be subject to a 15% restocking fee and must be initiated within 45 days of delivery.
